PTA Meeting Minutes 09/04/19

Chair: Keiona Connor called meeting to order at 5:50pm; quorum established. Welcome and Introductions/Icebreaker. Keiona introduced PTA, started meeting. Officially called to order introduced members of exec board: Nicole as treasurer, Tahni as membership, Veronica as Secretary. Ice breaker: lots of concert goers, pet owners attending first PTA meeting with no connection to Portsmouth school. KRC emphasizes we are all parent volunteers and could use some help! Excuse the hot mess, we are not professionals. Any help is welcome. 

New Business: Review minutes: KRC reviewed the process of reviewing minutes from last meeting, noted that its per DOJ. Gave folks a few minutes to review mins from June. Minutes are approved, no questions. Minutes approved as written. Seconded.

Membership: Tahni noted that PTA loves to hear all voices, loves to chat with staff, guardians/parents. Various kinds of meetings: general membership, morning coffees/information session. Keiona explained what we vote on, who needs to be a member (note that its a DOJ rule). Tahni emphasized building community in diverse setting is tough but worth it; gives people a way to plug into the school outside the usual system. Want to fundraise, but use resources wisely. PTA works for all. Question: $10 annual? Yes. $10 per parent, not per kid? Yes. Question: is there a way to pay with credit cards tonight? Yes. Cash also. Also pay online, at PTA box
Principal Munoz on agenda. Keiona noted that Munoz not in attendance. 

Re-vote on use of funds from Run for the Cyclones (RFTC). Noted that RFTC funds are unreliable – $6k one year, $12k another. 20% goes to fund PTA events. In June, PTA voted to fund SUN summer school. Decided to revote now since June had poor turn out. Now, 3 causes to fund: 1. Principal Munoz wants funds to go to PBIS positive behavior intervention support; reward system. 2. SUN summer school 3. Literacy All require some money. Portion of RFTC earmarked for these efforts. Q: can we put stipulations around fund use? Yes. Q: where will this money go? How will it be spent? Q: how much is Munoz asking for? $3000. Note: SUN school always underfunded, but summer program relies on district funding that is leftover from school year and not known until June. Q: what happens to excess funding? Will go to next summer SUN. Discussion turned to freeing up auction money – auction is a reliable big fundraiser, but PTA voted to secure all funds raised to building improvements (mostly for new playground roof). For 2020 auction, consider using that money to fund immediate projects; not playground but use savings as seed money to get corporate funding. Would require a vote at next month’s meeting. Clarify: what are we voting on? Who gets the funds, not how much. Motion made by Amy Gilkey: vote on funding all 3 causes: PBIS, SUN, Literacy, motion seconded. Discussion around auction and concern if those 3 are best causes. Confirm these 3 are from last year, what we have heard from the community. Motion seconded. Vote: All in favor, none opposed. 
Committee Discussion/Formation Literacy – Mark. Amy: auction. Date is not set, last week of April. Church in St Johns gives free space. Nina Spring Racial Equity: goal is to support Restorative Justice. Fundraising: Leah! Focus on bringing in grants, outside money. Link your fred meyer cards, FM matches you keep your rewards. benefit apps do the same. Alice: Green Team. Leads team with ideas to do stuff with environment. Shona Lepis: Communications. Does website, blog. Transportation & Safety: coach balto, william francis. Parking lot mural; walk/roll to school; asked if volunteers can provide vegetarian food/coffee. Recruit other than english & spanish. 

Next PTA Meeting: Wednesday, October 2, 2019 5:30 – 7 pm Always provide childcare, food. Everyone can submit a grant! Sarah raised $500 for books; Alice raised funds for the plates. We will support you! 

Adjournment/Volunteer asks: sign up near Tahni. Help: picture day for sept 20, 4-5 people. RFTC: Oct 8, any assistance. Bake sale sept 20, donate baked goods! Clothing closet. Marshall campus, sort through clothes and help families shop through the closet. 7:12pm. End of meeting.
