October PTA Meeting Minutes

Quorum met. 

Chair: Veronica Arenas Marshall

  1. Veronica called the meeting to order at 5:36 pm. 
  2. The minutes from 9/7/22 were reviewed and approved by the membership as written. 
  3. President’s Report/New business
    1. Standing Rules – Reviewed draft of 2022-2023 standing rules with update on total number of member-at-large board members. Leah Hinson made a motion to approve the Standing Rules as written. Motion was seconded, approved unanimously. Member-at-large board member vacancies are filled by Trisha Hitchcock and LaQuisha Minniweather.
    2. Racial equity funds – Discussed history of racial equity funds that were raised in the past and then have been held since prior to 2020 pandemic. The PTA board is wanting to continue to use those funds for equity work and restorative justice programming at Chavez. Leah Hinson made a motion to use the funds that were raised for racial equity (about $1527) to be used for racial equity and restorative justice programming at Chavez. Motion seconded and unanimously approved. 
  4. FY 2021 Audit – Leah Hinson presented the fiscal year 2021 audit. It was reviewed and unanimously approved by the membership. 
  5. Treasurer’s Report – Leah Hinson presented the treasurer’s report as Blake, the PTA treasurer, is currently out of the country. 
  6. Committee Updates:
    1. Bake Sale and RFTC update – Keiona Connor, Leah Hinson and Veronica Arenas Marshall gave an overview of the Bake Sale and the Run for the Cyclones. Bake sale raised around $400. So far RFTC has raised about $3800. Donations can still be made through October 14, 2022.
    2. Harvest Committee and Auction Committee formation – Auction overview given by Veronica and Leah – Date for the auction is April 29, 2023, a couple members stated they can join the committee. Harvest festival was described and will happen October 28, 2022. The Harvest Festival committee meeting will happen next Wednesday, October 12 and 10 am on zoom. 
    3. Transportation and Safety – Walk and Bike to school day is October 12. Starting at 7:25 am at one location: North Newell at Mira Flores apartments and second location at: N Newman Street, center of McCoy park. Kids and volunteers will walk/bike to Chavez from those locations. Meeting at school at 7:55 am. All kids who walk or bike to school will be entered into a raffle to win a bike! Interested volunteers can reach out to Blake at treasurer@cesarchavezpta.org. There are 4 $25 Fred Meyer gift cards available for the first 4 volunteers who reach out to Blake. 
    4. Fundraising for Covered Area – Leah Hinson gave an update on committee work around funding the covered area and connections that have been made at PPS.
    5. Keiona gave an update on requests from Ms. Norman. Middle School House colors are: Green, yellow, blue and purple – Ms. Norman said that she is looking for items in house colors, planners for middle school dance, and cyclone store items.
  7. Announcements 
    1. PTA Movie Night October 7 Canceled due to construction on the roof in the cafeteria.
    2. Bike/Walk to School Day – October 12, 2022
    3. Picture Day – October 19, 2022 – need volunteers for picture day, reach out to keiona@cesarchavezpta.org if you can help.
    4. Harvest Festival – October 28, 2022 5:30 – 7:00 pm
    5. PTA Coffee canceled November 2, 2022 – moving forward PTA will be at the principal’s coffees each month. Next principal coffee December 2, 2022.
    6. Next PTA Meeting – November 2, 2022 5:30 – 7:00 pm  ZOOM 
  8. Adjourned at 7:04 pm.
